Tasks Overview

With Motion, tasks are automatically scheduled into your calendar before the deadline so you don't have to worry about finding the time to complete your tasks. Here's how tasks work:

  1. Create a task. Tell Motion how long the task will take and when the deadline is. Motion will automatically schedule a time in your calendar to complete this task before the deadline.

  2. The task will be set as Free, meaning team members will be able to schedule meetings over it. Motion will automatically move the task to a different time if it is double booked. Once there are no more available times that the task can be moved to before the deadline, the task will automatically be set as Busy. Read more about Free and Busy tasks here


Getting started with Tasks

Follow these few steps to get started with tasks:

1) Choose which calendar tasks will be added to

Tasks will only be added to your main calendar. Here's how to check/change your Main Calendar:

  1. Go to settings on your computer.

    You'll see which calendar is marked as your Main Calendar under Accounts.

  2. Click the 3 dots beside the calendar you want to set as your Main Calendar.

  3. Mark the calendar as your Main Calendar.

2) Choose which calendars to check for conflicts

To make sure you aren't double booked, choose which calendars Motion should check for conflicts when scheduling tasks. Calendars in the "My Calendars" group will be checked for conflicts.

How to choose which calendars are in My Calendars:

On the task panel to the left of your calendar, click " + Add Account".

This can also be done under Settings β†’ Calendars

3) Set up Focus time

With focus time you can create a time block for you to accomplish your tasks. Here's an example of how it works:

  1. You set a 3 hour focus time block each day. 3 hours of focus time block events will be added to your calendar.

  2. As tasks get scheduled, they will replace the focus time blocks. For example if you have 1 hour of tasks scheduled, the 3 hour focus time block will be reduced to 2 hours.

How to set up focus time:

  1. Go to settings on your computer.

  2. Click "Focus time" on the left.

  3. Enable focus time.

  4. Choose the days/times you'd like to have focus time.

4) Create a task

You're all set up! Next, you can create a task.
