Summary:

Motion’s AI Notetaker operates like a silent assistant, effortlessly tracking the primary points and action items discussed in your meetings; keeping track of all the details so you don’t have to.

In this article, we will discuss how Motion’s AI Notetaker operates and highlight all the reasons why you will want to make this feature a part of your every day life with Motion.

How it functions?

Motion’s AI Notetaker acts as an additional invitee for your Motion-scheduled meetings. Upon joining your meeting you will be met with a prompt to either ‘admit’ or ‘deny’ the notetakers request to join the meeting.

When admitted, Motion’s AI Notetaker seamlessly joins all your Motion-scheduled meetings as a silent participant; tracking and taking notes on all the important points of emphasis action items that come up in conversation.

Following your meeting(s), Motion’s AI Notetaker provides you with a ‘Meeting Summary’ that attaches directly to that meeting’s event notes in Motion; highlighting all the major points of emphasis that came up in conversation. Motion will also provide you with an email that includes the meeting summary for added visibility.

Additionally, Motion’s Notetaker will provide you with a list of action items in the event details that are waiting for your approval. Once approved, these action items will be seamlessly created into Motion tasks and auto-scheduled on your calendar for you.

Example:

Let’s say you attend a team meeting that was scheduled on your Motion calendar to discuss an upcoming project. In the meeting each participant presents their ideas, blockers, and game-plans for the project’s execution.

  • Participant A highlights some core blockers impacting their ability to deliver on their requirements.

  • Participant B suggests some potential ideas for improved efficiency moving forward.

  • Participant C lists all the action items that need to be handled before the next weeks meeting.

Following the meeting, Motion’s AI Notetaker would provide a summary that reads something like:

“The meeting focused on addressing several blockers that are impacting production. The team discussed suggestions and potential workarounds for improved efficiency. Finally, a list of determined assignments was created for each participant.”

Beneath the meeting summary you would see a list of the meeting’s action items waiting for your approval. Selecting to ‘Approve & Auto-Schedule’ would have these action items scheduled on your calendar in seconds; ensuring you are ready to complete the essential requirements before the next meeting— saving you time and energy in the process.

Why use it?

There are 3 primary reasons why you will want to make Motion’s AI Notetaker a fundamental part of your productivity tooling.

  1. Team Alignment Through Meetings Summaries:

    • With detailed meeting summaries provided directly in the event notes, you and your team can easily reference back to the meeting notes to remember any important notes and discussed topics; ensuring you are consistently aligned.

  2. Scheduling Control With Action Item Approval:

    • Not all action items discussed in each meeting are going to be immediate, pressing requirements. Having the option to approve or deny the meeting’s recorded action items still gives you full control of your schedule, while substantially reducing the time spent coordinating.

  3. Time Saved Through Integrated Auto-Scheduling:

    • The auto-scheduling approval process is as simple as one click of a button; allowing for effortless scheduling of your discussed assignments.

Summary:

Motion’s AI Notetaker is here to be your silent assistant, ensuring you never miss an important point or action item in a meeting ever again. Combined with Motion’s AI Auto-Scheduler, the notetaker allows you to focus your energy on attending meetings and completing tasks and Motion’s AI takes care of the rest.
