Here are 6 of the most common issue Motion users run into when scheduling tasks
1.) Tasks not checking for scheduling conflicts
If you notice that tasks are scheduling over your events, the issue might be that your calendar with these events is not included in "My Calendars". Motion will check all calendars under "My Calendars" for events before scheduling a task.
Here's how to check which calendars are in "My Calendars":
Calendar (Opt/Alt + C)
Click "Edit" next to My Calendars.
Choose all the calendars you'd like Motion to check before scheduling tasks.
2.) Tasks not scheduling
We sometimes see tasks not scheduling with users who have all-day events that are marked as Busy and prevent tasks from being scheduled. Do you have any all-day events scheduled on those days?
If so, you'll want to mark them as Free by clicking into the event → click the pencil to edit → click More Options → click Busy → choose Free from the dropdown.
Alternatively, you might have a calendar with busy events that you don't want to be marked as Free. If that is the case, then you will need to remove that calendar from "My Calendars" in the Calendar sidebar in Motion.
3.) Make all Motion tasks free events
If you want Motion tasks to show as free events to others, it might be helpful to change your auto-schedule settings. You can add tasks to your calendar, but keep them free so people can book over them or choose to not have tasks added to your calendar at all. You can see these options in Settings → Projects & Tasks → Auto-scheduling.
4.) Tasks not scheduled past 2 weeks
Currently, tasks are only auto-scheduled 2 weeks out for site performance reasons. This may be why you don't see them after 2 weeks from now, but they will be scheduled once they're in the 2 week range!
5.) Could not fit error
We sometimes see this with users who have all-day events that are marked as Busy and prevent tasks from being scheduled. Do you have any all-day events scheduled on those days? If so, you'll want to mark them as Free by clicking into the event → click the pencil to edit → click More Options → click Busy → choose Free from the dropdown.
Additionally, the schedule the task is assigned to might be too restrictive. Tasks default to your work hours, which usually don't include extended hours or weekends. Here is how to change that setting:
Click on the task to open it
Click "Work Hours" in the top right.
You can edit/add schedules here. Choose which schedule you want the task to be added to.
6.) Pending tasks
Sometimes this happens if Motion loses connection to your Main Calendar. This can happen after a password change, enabling of 2FA, or something similar. In order to resolve this issue, we recommend that you try re-adding your calendar to Motion:
Click Add account
Re-add your Main calendar.
Go through the Microsoft or Google account flow (making sure to explicitly grant Motion calendar permissions when asked).
After re-adding your calendar, you will need to create a new task to trigger an update.
