Navigating and Understanding Motion's Interface 📊

Motion is a productivity management tool with three core tabs: the Calendar tab, the Project tab, and the Booking tab. 🚀 This makes Motion a versatile 3-in-1 solution, encompassing calendar management, project organization, and booking management. 🔄

Calendar Tab: Your Day-to-Day Hub 🗓️

The Calendar tab serves as your central hub for managing your daily schedule, displaying tasks, meetings, and events. Here's an organized overview of the key components within the Calendar tab:

  1. Calendar Interface: In the central part of the screen, you'll find the Calendar itself. This section provides an overview of your daily agenda, displaying tasks and meetings. Tasks have checkboxes for easy completion, while events are displayed differently. Motion allows aggregation of events from various calendars into one unified view.

  2. Calendar List and Agenda: To the left and right of the calendar interface, respectively, you'll find:

    • Calendar List: Contains all your connected calendars, providing a comprehensive view. Motion supports multiple calendars.

      • My Calendars: Automatically sync with Motion.

      • Frequently Met With Calendars: Toggle shared calendars on and off easily.

    • Agenda: Offers a comprehensive view of daily tasks and upcoming meetings. Toggle meetings on and off via Calendar Settings.

  3. Date Picker: Easily navigate to specific dates by clicking on the date picker.

  4. Meet with Team Member Bar: Search for a colleague's name, and their shared calendar will appear if shared with you.

  5. Timezone Settings: Customize your timezone preferences, including primary, secondary, and tertiary timezones.

  6. Calendar List: Display events from multiple calendars in a unified interface.

  7. Agenda: On the right-hand side, you'll find the Agenda view, providing a comprehensive view of your daily tasks and upcoming meetings.

  8. Add Tasks: There's an "Add Task" button that opens the Task Modal, enabling you to input details such as title, priority, duration, start date, and due date. You can also customize further details like status and scheduling.

  9. Task Modal: The Task Modal is where you create tasks with various details:

    • Title: Provide a title for the task.

    • Priority: Define the task's priority.

    • Duration: Specify the task's duration.

    • Scheduling: Determine when the task should be scheduled, including the frequency (one-time or recurring).

    • Chunk (if applicable): Break the task into smaller chunks if needed.

    • Start Date: Set the task's start date.

    • Due Date: Establish the task's due date.

This organized layout summarizes the Calendar view, comprising your Task List, Calendar List, and the central Calendar interface, offering an easy way to manage your daily and weekly tasks and events.

Calendar Tab

Task Modal

  • Location: Move a task to a different workspace or project by clicking on the workspace name and project name.

  • Tools: Enhance the task description by incorporating formatting features such as bold, italic, underline, or by utilizing numbered lists and checklists.

  • Duration: For tasks longer than 30 minutes, click the duration to split it into smaller chunks and select a minimum duration.

Project Tab: Your Planning and Collaboration Hub 📑

If the Calendar tab focuses on day-to-day management, the Project tab is your go-to place for planning, organization, and collaboration. This tab is particularly useful if you're part of a larger team or organization. Here's what you'll find within the Project tab:

  1. Workspaces: Workspaces act as buckets to organize your project tasks. You can create workspaces for different departments, clients, or specific project types. 🏢

  2. List View: The List View presents a comprehensive list of tasks and projects, allowing you to view essential details like title, priority, due date, status, and more. It's highly customizable, enabling you to tailor your view according to your preferences. 📋

  3. Project View: Access a list of all your projects, filter, group, and explore project details. 📊

  4. Kanban View: Visualize tasks or projects using a Kanban board, which is especially useful for managing workflow visually. 📈

You can create saved views that suit your specific needs, enhancing your project management capabilities.

Tasks + List View

  • Workspace section: Includes your private and public workspaces, allowing you to open a workspace by clicking its name. For quick access to projects, click the arrow next to the workspace name to reveal project names.

  • Columns

    • Priority: Signifies the importance of tasks.

    • Status: Displays the current state of each task. Statuses help you monitor the lifecycle of the task.

    • Deadline: Indicates when tasks are due and need completion.

    • Scheduled On: Highlights when tasks are scheduled for completion.

    • Assignee: Designates the owner of a task. In shared workspaces, click the assignee name to reassign it to another member.

    • Labels: Represents the tags associated with tasks. Labels aid in categorizing and organizing projects and tasks.

  • Custom Columns: Personalize your view by clicking “+” on the right-most column to hide or display columns.

Projects + List View

Kanban View

View projects and tasks on the Kanban board by clicking ‘Kanban’ at the top right, and then selecting either ‘Projects’ or ‘Tasks.’

  • Filters: Workspaces in the Kanban view are grouped by ‘Status’ by default. Use the available filter options to change how projects and tasks are displayed.

  • Task Tiles: Includes task details including the title, priority, status, duration, etc. Just click on any of them to make updates! Click on the task tile to open the modal and access the full task details.

The Booking tab is your control center for managing booking links and scheduling. It simplifies one-on-one meetings with external contacts and offers customization options for booking links. Here's what you'll find in the Booking tab:

  1. Drag Times: Simplify the process of scheduling one-on-one meetings with external contacts. This feature minimizes the back-and-forth emails involved in scheduling. 🕒

  2. Booking Links: Customize booking links for various types of meetings, such as sales calls, onboarding sessions, or interviews. 📆

  3. Generate Message: Customize and preview the message that accompanies your booking links. ✉️

Settings Tab: Tailoring Motion to Your Preferences ⚙️

In the Settings tab (represented by a gear icon), you can customize your Motion experience according to your preferences. Here's what you can adjust:

Calendar Settings: Fine-tune your calendar preferences. 🗂️

Timezone Settings: Configure your timezone preferences. 🕰️

Click the dropdown to select a primary or secondary timezone. The default timezone is used for scheduling tasks and bookings.

Default View: Customize your default view settings. 📝

Change the start of the calendar week from Sunday to Monday, or enable dark mode.

Auto-scheduling Settings: Manage your auto-scheduling preferences. 🔄

Access your tasks on your external calendar by turning on this setting. Read more here.

Display Task Names: Tasks will show as “Free [Motion Task]” and “Busy [Motion Task]” when disabled.

Team Settings: Manage your team subscription and members' access. 👥

Add or remove members, manage workspace access, and update payment information.

Account Settings: View your account email and access options to log out or delete Motion tasks. 🔒

From here, you can:

  • Review your plan details (current subscription, price, renewal date).

  • Update your payment method.

  • Remove tasks from your main calendar.

  • Cancel your account.
