Managing Workspaces: Private, Public, and My Tasks

🔒 Private Workspaces

There are times when you might need a completely private workspace for tasks that aren't related to your team's efforts. Maybe you're managing a 'Home Renovation' project or running a 'Side Hustle' outside of your main job. Perhaps you even have a 'Family' workspace to keep track of activities like family outings or chores.
Creating a private workspace is straightforward:
  • Click on "Projects and Tasks" and "+” on the left sidebar to add a new workspace.
  • Once created, this new workspace is exclusively for you, providing a secure, separate place to manage your personal or non-work-related tasks.
  • You can confirm or manage access to this workspace by heading to the ‘Team’ section.

🌐 Shared Workspaces

Shared workspaces in Motion are intended for seamless teamwork and collaboration. Let's say you're part of a marketing team launching a new product. You create a 'Product Launch' shared workspace, invite your team members, and everyone gets access to all the tasks and projects within that workspace.
In this workspace, you can assign your graphic designer the task of creating product images, while your content writer works on the product description. Shared workspaces facilitate effective task delegation, encourage real-time collaboration, and provide all team members with visibility into the project's progress.
You can manage your members’ access to workspaces in the ‘Team’ section.

👤 My Tasks Workspace (Encompasses Both Private and Public Tasks)

'My Tasks' is your personalized task dashboard in Motion. It is a consolidation of all tasks assigned to you, regardless of their origin.
Consider this scenario - you're part of a sales team and have a task assigned to yourself in a shared 'Sales' workspace to finalize a proposal. This task, though situated in a public workspace, will also show up in your 'My Tasks' workspace. This feature ensures that you have a bird's eye view of all your responsibilities, from collaborative projects to individual tasks.
The clear distinction between shared workspaces, 'My Tasks' workspace, and private workspaces in Motion ensures you have the flexibility to collaborate on team projects, keep track of your individual tasks, and manage personal responsibilities, all within the same platform.

1. Why can’t I assign tasks to my member?

  • This situation occurs when a member lacks access to the workspace where the task is from.
    • Example 1 - Task A is attached to My Tasks, so it isn’t possible to assign it to them since it's from your personal workspace.
    • Example 2 - Task B is located in a shared workspace called "Human Resources." You can’t assign your team member the task because they don’t have the permissions to access it. You can fix it in the ‘Team’ section.
To summarize, a task can only be assigned to members if it's from a public or shared workspace.
