Enhancing Task Management with Checklists

Checklists provides you with a structured way to break down larger tasks into smaller, more manageable β€œsub-tasks” or items. You can mark off items on the checklist as they are completed, providing a visual indication of progress.

How to Access Task or Project Modal

New Task

  • Click on an existing task within the Calendar tab or the Projects tab.

  • Click the blue "Add Task" button.

New Project

To open a project modal, you can:

  • Navigate to any workspace.

  • Click on the blue β€œAdd Task” button.

  • Select "Add Project.”

Alternatively, you can simply click on any existing task or project to open the modal.

Creating a Checklist

After opening either a task or project modal:

  1. Navigate to the notes section.

  2. Click on the Checklist icon.

  3. Customize your checklist. For example:

Pro Tip: You can also type [ ] (brackets) to add a checklist item. This is particularly useful in the task-creation modal in the Calendar tab. When using the blue β€œAdd Task” button, you can quickly add checklist items using brackets. πŸ‘

Completing Items on Your Checklist

To mark items as completed:

  1. Click on the circle next to each checklist item.

  2. The item will be crossed out, indicating its completion.

How can I create sub-tasks?

  • You can utilize the checklist feature within the parent task modal to create "sub-tasks."

Will subtasks within checklists ever appear on the calendar?

  • No. However, later this year, once Multi-stage Tasks are released, we will have a feature where each stage can be AI-scheduled on the calendar.

Can I make a template for checklist?

  • You can create a task template in your workspace and configure it to include a predefined checklist. This checklist, along with other predetermined details, will be copied each time you use the template.

Can I customize the checklists for each instance of a recurring task?

  • Unfortunately, it's not possible to have different checklists for instances of recurring tasks. Each instance will contain the checklist from the parent task. Additionally, when you complete an item on the checklist, it will be synced across all instances of that task.

How to undo a completed checklist?

  • To undo a checklist item, open the task and click on the checklist item you want to mark as incomplete. Don’t forget to save changes.

Why am I unable to attach my PDF or document to the task?

  • Right now, we only support these file types for attachments: PNG, JPEG, JPG, GIF, WEBP, and BMP. We're always looking to improve, so stay tuned for updates on additional supported file types!
