Motion's AI Notetaker Overview
Summary:
Motionâs AI Notetaker operates like a silent assistant, effortlessly tracking the primary points and action items discussed in your meetings; keeping track of all the details so you donât have to.
In this article, we will discuss how Motionâs AI Notetaker operates and highlight all the reasons why you will want to make this feature a part of your every day life with Motion.
How it functions?
Motionâs AI Notetaker acts as an additional invitee for your Motion-scheduled meetings. Upon joining your meeting you will be met with a prompt to either âadmitâ or âdenyâ the notetakers request to join the meeting.
When admitted, Motionâs AI Notetaker seamlessly joins all your Motion-scheduled meetings as a silent participant; tracking and taking notes on all the important points of emphasis action items that come up in conversation.
Following your meeting(s), Motionâs AI Notetaker provides you with a âMeeting Summaryâ that attaches directly to that meetingâs event notes in Motion; highlighting all the major points of emphasis that came up in conversation. Motion will also provide you with an email that includes the meeting summary for added visibility.
Additionally, Motionâs Notetaker will provide you with a list of action items in the event details that are waiting for your approval. Once approved, these action items will be seamlessly created into Motion tasks and auto-scheduled on your calendar for you.
Example:
Letâs say you attend a team meeting that was scheduled on your Motion calendar to discuss an upcoming project. In the meeting each participant presents their ideas, blockers, and game-plans for the projectâs execution.
Participant A highlights some core blockers impacting their ability to deliver on their requirements.
Participant B suggests some potential ideas for improved efficiency moving forward.
Participant C lists all the action items that need to be handled before the next weeks meeting.
Following the meeting, Motionâs AI Notetaker would provide a summary that reads something like:
âThe meeting focused on addressing several blockers that are impacting production. The team discussed suggestions and potential workarounds for improved efficiency. Finally, a list of determined assignments was created for each participant.â
Beneath the meeting summary you would see a list of the meetingâs action items waiting for your approval. Selecting to âApprove & Auto-Scheduleâ would have these action items scheduled on your calendar in seconds; ensuring you are ready to complete the essential requirements before the next meetingâ saving you time and energy in the process.
Why use it?
There are 3 primary reasons why you will want to make Motionâs AI Notetaker a fundamental part of your productivity tooling.
Team Alignment Through Meetings Summaries:
With detailed meeting summaries provided directly in the event notes, you and your team can easily reference back to the meeting notes to remember any important notes and discussed topics; ensuring you are consistently aligned.
Scheduling Control With Action Item Approval:
Not all action items discussed in each meeting are going to be immediate, pressing requirements. Having the option to approve or deny the meetingâs recorded action items still gives you full control of your schedule, while substantially reducing the time spent coordinating.
Time Saved Through Integrated Auto-Scheduling:
The auto-scheduling approval process is as simple as one click of a button; allowing for effortless scheduling of your discussed assignments.
Summary:
Motionâs AI Notetaker is here to be your silent assistant, ensuring you never miss an important point or action item in a meeting ever again. Combined with Motionâs AI Auto-Scheduler, the notetaker allows you to focus your energy on attending meetings and completing tasks and Motionâs AI takes care of the rest. FAQ's
Q: Why won't my AI Notetaker join my Microsoft Teams call?
A: Microsoft Teams has certain tenants that do not allow bots to join their calls.
If you attempt to create a bot for a Microsoft Teams meeting hosted by a blacklisted tenant, you'll receive a 400
error with the following message:
"Tenant is blacklisted. For more info: https://docs.recall.ai/docs/teams-blacklisted-tenant-ids "
Since these tenants have banned all bots from joining their calls, there is no workaround for this.

A: This is likely due to incorrect meeting link credentials in the Zoom meeting. Many Zoom meeting url's have required passwords and credentials incorporated in them. Therefor if the meeting's Zoom link doesn't include the correct credentials, the AI Notetaker won't be able to join the meeting.
