Templates: Unlocking Efficiency

Templates in Motion help you save time by creating reusable setups for projects and tasks. Whether it's a standard project layout or specific task arrangements, templates make it simple to duplicate them. There are two methods for creating templates: either from an existing task/project or starting from scratch.

Why Use Templates?

  • Example 1: Repetitive Client Task

Let's say you have a task that needs to be performed each time a client is added to your portfolio. You can create a task template with all the necessary steps, instructions, and assignees. Whenever a new client is added, simply use this template to create a task with pre-filled details.

  • Example 2: Marketing Campaign Project

Imagine you frequently run marketing campaigns for different clients. Instead of starting from scratch each time, create a project template with predefined tasks, milestones, and deadlines. When a new marketing campaign starts, use the template to quickly set up the project with all the necessary components.

Templates are saved under a specific workspace. If you create a template in Workspace A, you won't be able to see it in Workspace B.

Template From an Existing Task

To create a template from a task, you can:

  1. Click on "Projects" in the top navigation bar.

  2. Select a workspace.

  3. Open the task you want to turn into a template and click on the 3 dots icon.

  4. Select “Save as template”.

  5. Enter the template name.

  6. Click on “Create a template” to save it.

Template from Scratch

You can create a new template by following these steps:

  1. Navigate to the Settings tab by clicking the ⚙️ icon.

  2. On the left sidebar, choose the workspace you want.

  3. Click on the "Templates" tab.

  4. Click on "Create a template."

  5. Select whether you’re creating a “task template” or “project template.”

  6. Provide a name for the template and save it.

Walkthrough

Using Task Templates (Calendar Tab):

  1. In your Calendar Tab, click on the “Add task” button.

  2. In the left corner of the Task Modal, select the workspace where you created the template.

  3. Click the puzzle icon in the top right corner of the Task Modal.

  4. Choose your desired template from the list.

  5. The task will automatically fill with all the fields from the selected template.

Using Task Templates (Projects Tab):

  1. Navigate to the 'Projects' tab.

  2. Select "Add Task" in the workspace where your template exists.

  3. Click on the puzzle icon located at the top of the Task Modal.

  4. Select your preferred template from the list.

  5. The task will be automatically filled with all the fields you previously created in the template.

Using Project Templates

  1. Navigate to the 'Projects' tab.

  2. Select "Add Project" in the workspace where you created your template.

  3. Click on the puzzle icon, located in the top right corner of the Project Modal.

  4. Select your preferred template from the list.

  5. The project will be created with all the predefined structures and tasks from the template.
