Sharing and viewing team members' calendars can significantly enhance collaboration within a team. Whether it's coordinating for a meeting, aligning on a project, or ensuring visibility of each other's availability, shared calendars can streamline these processes and improve productivity.
On a computer, open Google Calendar.
In the "My calendars" section on the left, click the Down arrow to expand it.
Hover over the calendar you want to share, and click "More" > "Settings and sharing."
Under "Share with specific people," click "Add people."
Enter the email address of the person or Google group you want to share the calendar with.
Use the drop-down menu to adjust their permission settings.
Click "Send."
The recipient must click the emailed link to add the calendar to their list.

In Outlook, go to your calendar list.
Choose the calendar you want to share from the drop-down list.
Click the 3-dot button, then hit Sharing and Permissions.
Type the recipient's name or email address.
Choose their access level and click "Share".

In a sales team, sharing a team calendar allows everyone to see when colleagues are available for team meetings, client calls, or collaborative sales pitches. This transparency can greatly increase team synergy and reduce scheduling conflicts. Additionally, if a team member is going on vacation or taking a personal day, it is clearly visible to the team, preventing any accidental overbooking.
While the sharing of calendars can boost team collaboration, it's equally essential to respect individual privacy. Personal appointments or confidential meetings need not be visible to everyone on the team. This is where adjusting calendar privacy settings comes into play.
Open Google Calendar and go to "Settings."
Click on "Calendars" under "Settings for my calendars."
Choose the calendar you want to adjust privacy settings for.
Under "Access Permissions," you can control who can see your calendar and what they can see.
Check or uncheck the "Make available to public" box to adjust the visibility of your calendar.
Option 1: This option will only show your events as busy/free
Option 2: While this option will show all of your events' details
In Outlook, right-click the calendar you want to change the privacy settings for, and select "Properties."
Under the "Permissions" tab, you can adjust who can see your calendar and what they can see.
Use the "Add" button to share your calendar with specific people, and use the permissions level drop-down to control their level of access.
To change the visibility of specific events, select the event, click "Appointment" in the toolbar, and adjust the "Show As" drop-down menu.
As a member of a team, you must balance transparency for the sake of collaboration with the need for personal privacy. By adjusting the privacy settings of specific events to "private", only the time of the event is blocked off in the shared calendar, without disclosing any personal details. This ensures personal activities remain confidential, while continuing to maintain the integrity of the shared calendar. This way, team members can respect each otherβs privacy while effectively coordinating schedules and avoiding conflicts.
